How to prepare a medical or laboratory equipment purchase

Start with your institution’s workload, intended use, available infrastructure and service requirements. Compare the complete proposed configuration and running costs before choosing a model.

1. Define the clinical or laboratory requirement

Record the intended examinations or tests, expected daily and peak workload, operator experience, available space and target installation date. For an analyzer, list the required test menu and sample types. For ultrasound, identify the examinations, probes and reporting functions your team requires.

A model name alone does not define a complete purchase. Ask the supplier to identify the exact configuration, included accessories and any optional modules in writing.

2. Compare the total cost and supply conditions

3. Check site readiness before delivery

Use the manufacturer’s current installation requirements to check electrical supply, grounding, environmental conditions, bench or floor space, water requirements where applicable, and waste handling. Confirm network or laboratory information system integration requirements if needed.

Agree responsibilities for site preparation, delivery access, commissioning and operator training. Retain the installation and acceptance records with the equipment documentation.

4. Request documentation for the exact product

Ask for the current manufacturer datasheet, intended-use information, operating instructions and applicable product documentation. Confirm that model numbers and configurations match the quotation. Your institution should verify the procurement and regulatory documents required for its intended purchase.

5. Send a clear equipment enquiry
